When it comes to processing title applications, efficiency and accuracy are key. At Illinois Title Services, we specialize in navigating the complexities of title and registration processes, including expedited conversion title applications. Here’s a step-by-step guide to help you complete this process smoothly.
Step 1: Understand the Requirements for Expedited Conversion Titles
Before starting the application process, it’s important to know the eligibility criteria and requirements. Not all conversion title applications can be expedited. Special cases, such as branded titles or those with VIN discrepancies, have unique requirements. For example, if there is an odometer error, additional steps are needed to ensure accuracy.
Riders
Illinois dealers must convert a vehicle's title into the dealer's name as soon as they receive a title with reassignments. This is commonly referred to as a Rider's title. Even if there are further assignments on a Rider or the title, the state mandates this immediate conversion.
Full Title
If there are no further assignments after the Illinois dealer completes the acquisition section, a conversion title is required. The dealer must obtain this title to proceed.
Estate-Purchased Units
In cases where a vehicle is sold to an Illinois dealership by the survivor or executor of a deceased owner's estate, the Secretary of State requires the dealer to convert this title into the dealership's name. Note: This does NOT qualify for the Expedited Process. The full $165 title fee must be submitted to Room 424 for regular processing.
Step 2: Gather Necessary Documentation
Make sure you have all required documents ready. These typically include:
A lien release if applicable. Securing a lien release from a credit union like Scott Credit Union can expedite the process significantly.
The completed title application form. This form can be accessed through the Illinois Secretary of State’s website at Title Application Portal.
Any supporting documents, such as a Secure Power of Attorney, for title assignment if needed.
Step 3: Complete the Title Application
When filling out the application:
Select the appropriate title type. For dealerships, choose "Title Only" and then select "Dealer for Resale." This selection triggers a system prompt for entering your dealer license number. This step generates the discounted dealer fee of $20 for the transaction. Estate-purchased units do not qualify for the discounted fee and cannot be expedited. You should omit this step in those cases.
Verify all information. Double-check the date of sale and odometer readings. If there is an error when generating this application, correcting it later can be very difficult. So, ensure all details are accurate.
Step 4: Pay the Applicable Fees
Dealerships benefit from reduced fees for duplicate or corrected titles. By including dealership information in the application, the cost is reduced to $20 for a T20 title. Be aware of additional fees for expedited processing:
Secretary of State (IL dealer-discounted) title fee: $20
Secretary of State expedited fee: $30
Illinois Title Services transaction fee: $10
Shipping fee: $10
In total, utilizing Illinois Title Services may cost up to $70 for expedited services.
Step 5: Submit the Application
Once the application is complete, submit it directly to the Illinois Secretary of State:
Vehicle Services Department
Attn: Expedited Title Service
501 S. Second St., Rm. 408
Springfield, IL 62756
Track the status of your application using the ERT Status Checker. Use the document number found under the barcode on the Title Application to check for any errors or delays.
Step 6: Maintain Proper Documentation
Effective record-keeping is critical. Use a system to organize title-related documents, such as:
A stock sheet for each vehicle, detailing all purchase and sale information.
A Titles in Transit Binder for pending applications or titles awaiting receipt.
Regularly follow up on outstanding applications and update records to reflect progress.
Tips for Success
Be proactive: Regularly check the status of submitted applications to avoid delays.
Leverage dealership tools: Many dealerships don’t realize the reduced fees for T20 titles. Educating clients about these savings can ensure success.
Stay organized: A well-maintained documentation system prepares you for audits and follow-ups.
Expedited conversion title applications don’t have to be overwhelming. With the right tools, knowledge, and a proactive approach, you can streamline the process and deliver exceptional service to your clients. At Illinois Title Services, we’re here to help you navigate these processes with ease.
